What kind of employee management capabilities exist in Tekmetric Multi-Shop?
Within Multi-Shop, you can:
- View all employees in your organization, see what shops they are in, and see their roles in each of those shops
- Create new employees and assign them to shops
- Deactivate employees from your organization
- View deactivated employees and deactivation/activation history for all employees
- Grant access to the Multi-Shop dashboard for any employees that need access
- Add an existing employee to shops that they are not yet in
- Remove an existing employee from shops that they are in
- Edit permissions for an employee, either shop by shop or in bulk for all their shops
View Employee List
The Employees section lists out all employees within your organization. Using the Shops popover, you can see which shops each employee is in and what their role is in each shop.

Create New Employee
Organization owners and admins now have the ability to create new employees within the Multi-Shop dashboard. This functionality is not available for "read only" users of Tekmetric Multi-Shop.
In the upper right corner of the Employees table, you'll see an "Add Employee" button.

If you select this, you'll first be asked to fill out the contact information and role and salary for the new employee.
In the second step, you'll be able to choose the permissions for the employee. Learn more about Permission Groups and Individual Permissions here.

Finally, you can select which shops you want to add this employee to. On this screen you will see all shops within your organization. You can choose whatever combination of shops you want.
Once you select the shops and continue, the employee will be added to all the shops with the role, salary, and permissions you've selected in the previous steps. There is no need to go into each shop one at a time and create the employee anymore!

If you are the organization owner, you will also see the option to choose Multi-Shop access for this employee in the final step. You can choose between None, Read Only, Edit, and Limited Reporting.

Creating a "Multi-Shop only" Employee
Organization owners will also have the ability to create a "Multi-Shop only" employee that is not necessarily tied to any individual shops. Instead, they will be granted Multi-Shop access upon creation.
Select the arrow on the right of the Add Employee button, then select the Add employee to Multi-Shop only option.

From here, you'll be asked to provide the employee's contact information and Multi-Shop Access type (Read Only or Edit). Once you fill this information out and continue, the employee will be created and will have access to the Multi-Shop dashboard.

Deactivate Employee
Only the Organization Owner will have the ability to completely deactivate employees within Multi-Shop.
Completely deactivating an employee in Multi-Shop will:
- Deactivate them from all shops they were in
- Remove their Tekmetric Multi-Shop access (if they had any)

Grant Access to the Multi-Shop Dashboard
Only the Organization Owner will have the ability to grant access to the Multi-Shop Dashboard. See "Who has access to Tekmetric Multi-Shop?" section here for more details.
Add Existing Employee to Shops
If you're an organization owner or you have full edit access to Multi-Shop, you'll see an "Add to Shops" option in the three-dot menu for an employee (on the right side of the employees table).

If you select this option, you'll see a modal that contains a list of all the shops that the employee is not yet a part of. You can select however many shops you want in this modal and continue.

In the next screen you will pick the employee's role and basic information. To speed up this process, you can select to "pre-fill" this form with information from one of their existing shops. Pick a shop in the drop-down and you'll note that the information appears in the form below. If you'd like, you can edit this information further before continuing.

In the last step, you'll need to select the employee's permissions for the shop(s) that they are being added to.

Special Note
If the employee you've selected:
- Is not in any shops yet
- Or is the shop owner for all of the shops they are a part of
Once you've selected the shops that you want to add them to, you will be taken to the below screen. You will be required to fill out the normal role, salary, and permission information for this employee in the new shops they are getting added to.

Remove Existing Employee from Shops
If you're an organization owner or you have full edit access to Multi-Shop, you'll see a "Remove from Shops" option in the three-dot menu for an employee (on the right side of the employees table).
Note: This option will be disabled in the following scenarios:
- If the employee is not currently in any shops
- If the employee is designated as an organization owner (contact Tekmetric support for help removing them)
- If the employee is a shop owner in all the shops that they are a part of (contact Tekmetric support for help removing them)

If you select the "Remove from Shops" option, you'll see a modal that displays all the shops the employee is currently in.

You can select as many shops as you want and finalize your choice by selecting the red "Remove from X shop(s)" button at the bottom of the modal.
If you select to remove ALL of the shops for an employee and they do NOT have access to Tekmetric Multi-Shop, you will see a confirmation pop-up. This action will effectively deactivate the employee from your organization, so the system displays this to make sure you're sure of your choice.
